Often quoted in production:
👉 “It’s better now because the focus of management is here.”
This is a natural phenomenon. When a project or area is given priority attention, people are more motivated, problems are solved faster and performance improves spectacularly.
But worry is just as common:
⚠️ “If focus is lost, everything will go back to the way it was.”
And I always said: this is what will happen – if we don’t build development into the system. ✅
Sustainable development is not the result of a management campaign, but of a well-functioning management system 🏗️ that ensures that team accountability, performance monitoring and decision-making are not dependent on the momentary direction of management focus. Such a system makes information transparent to all those who have an influence on success. For example, maintenance staff can be provided with relevant data so that they can actively contribute to shared responsibility during shift handovers or daily meetings
The key is a structured management system 🛠️, which ensures that operations remain stable, no matter where management attention is. It is based on the following elements:
✔️ Teams should have clear roles and responsibilities.
✔️ Decision-making cannot be in the hands of a single leader; team members must also take an active role.
✔️ The leader’s role is to provide direction, but the team must maintain the system in day-to-day operations.
📌 Performance indicators should not only be monitored periodically, but should become part of daily operations.
📌 KPIs should also be made available visually (e.g. dashboards, production tables).
📌 Analysing data is not just a managerial task; the team is also responsible for evaluating the results.
Regular communication and decision making are key to effective operations. This requires transparent bottom-up and cross-functional communicationwhich ensures that information is available to all stakeholders and that responsibility does not rest solely with managers.
Daily meetings focus on the past 24 hours and rapid response, while weekly and monthly meetings focus on longer-term directions for improvement.
📢 Daily meetings at different levels (stand-up meetings) ⏳
🔹 Short, 10-15 minute discussion on daily priorities and obstacles.
🔹 Focus: solving operational problems quickly, tracking KPIs.
📢 Weekly meetings 📅
🔹 More detailed situation assessment and decision-making.
🔹 Focus: performance analysis, development opportunities, deeper understanding of problems.
📢 Monthly strategy meetings 🏆
🔹 Review longer-term goals, trends and developments.
🔹 Focus: system improvements, planning for major changes.
These discussions ensure that the organisation works effectively at all levels – from immediate response to long-term strategy development.
⚡ These regular meetings ensure that a permanent management presence is not needed to maintain stable operations. A transparent bottom-up and cross-functional communication allows all stakeholders, such as maintenance staff, to have access to the necessary information, so that they can actively participate in ownership and decision-making during shift handovers in their areas and in daily meetings.
🛠️ The team continuously evaluates and improves processes.
📉 If a KPI deviates from the desired value, an immediate action plan is created.
🎯 Leaders and team members at each level also have a responsibility to ensure progress.
Leadership focus is a good tool for driving change, but it is not a sustainable operating model. The key to long-term success is a management system 🏗️in which:
✅ responsibilities are clearly allocated,
✅ KPIs are visible on a daily basis,
✅ teams make decisions in regular meetings,
✅ and transparent bottom-up and cross-functional communication ensures that information is available to all stakeholders.
If we build the system right, progress does not depend on where the manager’s attention is. It is not the current focus that ensures stable performance, but the fact that the operation becomes self-sustaining. Transparent bottom-up and cross-functional communication allows information to flow unhindered at all levels of the organisation, enabling teams to take ownership and make decisions autonomously, so the system remains effective in the long term.🔄✨
🔹 Result? A production system that works well not only because of a managerial focus, but because the team and the processes are inherent to improvement. 💡🔥
